Job Summary:    Facilities Conference Assistants provide support service to the Office of Conference Services as part of a team of Student Conference Assistants during daily work shift in executing the duties and responsibilities in the area of Facilities operations in support of summer conferences.

Conference Services Supervisor:  Ayisha Kaul, Event Coordinator         

Responsibilities:
o Attend required weekly training sessions in May
o Act as liaison between Office of Conference Services and other on-campus departments including but not limited to Facilities Services, Public Safety, Information Technology/ Classroom Support, Chartwells and Residence Life.
o As part of a team of student workers, provides support to conference groups in their use of classrooms and meeting spaces and the associated IT and A/V equipment
o Provide exceptional, courteous and knowledgeable customer service to ensure successful outcomes for guests
o As part of a team of student workers, provides support to conference groups in their use of classrooms and meeting spaces and the associated IT and A/V equipment
o As part of a team of student workers, provides set-ups and tear downs of tables, chairs, platforms, podiums, etc.
o Conduct inspections of classrooms and event spaces. Provide re-sets of desks and furniture to ensure furniture meets the default capacity matrix and layout diagrams.  In addition, evening shift will utilize checklist for Facilities protocols to support “green processes” for efficient use of energy and utilities.
o Document and report facilities and equipment deficiencies to the Front Desk staff for creation of work tickets for correction and track cleaning and repairs as requested.
o Inspect associated IT and A/V equipment in classrooms and meeting spaces. Document and report deficiencies to Classroom Support for correction.
o Assist with the operation of the Game Room and Recreation Sports program
o As part of a team of student workers, provides custodial support in the Dining Halls during peak usage periods at breakfast, lunch and dinner.  Support with set-ups of tables and chairs for evening social activities in Dining Halls
  
Qualifications:
o Exceptional organizational skills
o Flexibility to work mornings, afternoons, nights and weekends a plus
o Flexibility to handle responsibilities assigned to meet the needs of clients and the department
o Ability to work well with a team of peers
o Ability to respond to unexpected problems and/or concerns
o Ability to express oneself clearly and in a professional manner
o Proficient in basic computer knowledge:
o Microsoft Word, Excel, Power point
o Classroom computer log-in
o Turning on classroom proxima and lowering screen
o Hooking up a laptop to a classroom computer
o Accessing information from USB drives
o Turning on audio in classrooms
o Ability to compute minor mathematical calculations
o Ability to lift/carry objects weighing up to 50 pounds
o Ability to move bins weighing in excess of 100 pounds with the assistance of a team
o Willingness to work collegially with other Conference Services personnel and Conference Assistants
o Willingness to be on the front-line of communications on behalf of St. John’s University’s Office of Conference Services

 

Student workers may not work more than 20 hours per week during the academic year. The Office of Conference Services cannot guarantee full-time hours for all shifts during the summer months (May - August).  Employee’s summer hours may range between 20 hours and 35 hours per week.
