Job Summary:    To assist the Office of Conference Services as a senior member of a team of Student Ambassadors during daily work shifts in executing the duties and responsibilities in the areas of Ambassadors operations.

Conference Services Supervisor: Event Manager                  

Responsibilities:
o Attend required weekly training sessions during the spring semester
o Attend weekly meetings with Office of Conference Services personnel, April - August
o Act as liaison between Office of Conference Services and other on-campus departments including but not limited to Chartwells, Public Safety, Facilities Services, Information Technology, and Residence Life
o Work with Office of Conference Services Supervisor to train Student Ambassadors and set bi-weekly schedule for Student Ambassadors
o Provide exceptional, courteous and knowledgeable customer service to ensure successful outcomes for guests
o Provide a comfortable environment for guests
o Work with the Office of Conference Services Supervisor in event coordination, to plan, organize, manage and execute off-campus day trip excursions for international student guests and group leaders, in New York City, Philadelphia and Boston
o Work with the Office of Conference Services Supervisor to visit points of interest in New York City. Responsible for knowledge of and familiarity with mass transit, walking routes and points of interest.
o As a part of a team of Student Ambassadors, greet international guests upon their arrival at local airports, escort them to charter buses and accompany by bus to campus.  Direct bus drivers to the Registration Center.
o Work with the Office of Conference Services Supervisor to develop a Group Leaders Orientation Manual and Group Leaders Orientation Agenda. Conduct orientation sessions with all group leaders within their first 24 hours of arrival to campus.
o Work with the Office of Conference Services Supervisor to develop support materials such as maps and pamphlets for points of interest, walking directions and agendas for day trips. 
o Establish Ambassadors weekday customer service presence by setting a table in the lobby of Montgoris Dining Hall during peak dining hours
o As a part of a team of Student Ambassadors, escort international students in groups of one (1) student ambassador to every twenty (20) students along with group leaders on day trip excursions. Responsible for following the travel plan and agenda and utilizing the methods of transportation as approved by the Office of Conference Services supervisor
o Responsible for the safe return of all guests assigned to your care
o Work with the Office of Conference Services Supervisor to plan, organize and manage on-campus evening social activities for international student guests, such as, dances, karaoke and movies
o Work with the Office of Conference Services Supervisor to plan, organize and manage on-campus evening social activities for group leaders
o Take photos for group members as a compilation of their excursion experiences for their viewing on the Conference Services social networking pages after their two week stay
o Responsible for collecting and organizing cameras and photos from Ambassadors after excursions
o Maintaining and updating Conference Services social media pages
o Lead and delegate tasks for Ambassadors for the differing types of group check-ins
o Manage the personalities of your Ambassador Team
o Maintaining the daily activities board for international student events

Qualifications:
o Student entering their Junior year or above in the fall of 2012
o Previous work experience within professional office setting or in an operations area
o Ability to work well with young adults
o Ability to work well with a team of peers
o Ability to assert oneself
o Willingness to be on the front-line of communications on behalf of St. John’s University’s Office of Conference Services
o Great attention to detail and exceptional organization skills
o Ability to communicate clearly and professionally with all summer conference guests, staff, and administration
o Ability to compute minor mathematical calculations
o Ability to abide by and enforce policies and procedures established by Office of Conference Services
o Ability to stand and walk for extended periods of time
o Ability to lift/carry objects weighing up to 50 pounds
o Valid driver license a plus
o Operating knowledge of Microsoft Office applications such as Word, Excel, and Access
o Willingness to work collegially with other Conference Services Administrators and Conference Assistants
o Flexibility to work mornings, afternoons, nights and weekends a plus
o Flexibility to handle responsibilities assigned to meet the needs of the clients and the department

Student workers may not work more than 20 hours per week during the academic year. The Office of Conference Services cannot guarantee full-time hours for all shifts during the summer months (May - August).  Employee’s summer hours may range between 20 hours and 35 hours per week.
