Job Summary: The Registration Conference Assistant plays
an integral role within a team who provides support services for
the Office of Conference Services summer operations. Daily work
shifts consist of executing multiple duties and responsibilities
for ensuring a seamless experience for guest check-in/check-out.
The Registration team operates as the first point of contact and
source of information for the majority of our guests. This position
is crucial in guaranteeing customer service excellence. The
registration team is modeled after a hotel front desk, from first
impression to last.
Conference Services Supervisor: Michele J. Famularo –
Senior Events Coordinator
Responsibilities:
o Attend and participate in required weekly training sessions
during the spring semester (April – May).
o Attend assigned groups check-in and check-out.
o Assist in the set-up and break down of equipment for
check-in and check-out.
o Input data from housing charts to EMS database.
o Welcome all summer overnight conference guests.
o Assist in the production and distribution of conference
guests welcome packets containing: ID card, keys or pin code,
campus map, & welcome brochure.
o Capture guests’ signatures on housing charts for each guest
that checks-in/check-out.
o Utilize the computerized EMS database to track guests that
check-in/check-out.
o Assist guests with taking photos and producing ID cards for
those guests who do not have ID cards generated in advance.
o Act as a concierge and assist guests with any questions they
may have regarding their stay.
o Provide exceptional, courteous and knowledgeable customer
service to ensure successful outcomes for guests.
o Act as liaison between Office of Conference Services and
other on-campus departments including but not limited to
Information Technology, Residence Life, Public Safety, Facilities
Services, and Chartwell’s Dining Service.

o Ability to communicate clearly and professionally with all
summer conference guests, staff, clients and administration.
o Great attention to detail and exceptional organization
skills.
o Ability to work well with a team of peers.
o Flexibility to work mornings, afternoons, nights and
weekends.
o Flexibility to handle responsibilities assigned to meet the
needs of clients and the department.
o Willingness to be on the front-line of communications on
behalf of St. John’s University Office of Conference
Services.
o Ability to respond and troubleshoot unexpected problems
and/or concerns.
o Operating knowledge of Microsoft Office applications such as
Word, Excel, and Access.
Student workers may not work more than 20 hours per week
during the academic year. The Office of Conference Services cannot
guarantee full-time hours for all shifts during the summer months
(May - August). Employee’s summer hours may range between 20
hours and 35 hours per week.
