Job Summary: To assist the Office of
Conference Services as a senior member of a team of Student
Conference Assistants during daily work shifts in executing the
duties and responsibilities in the area of Housekeeping operations
in the Residence Halls.
Conference Services Supervisor: Event Manager
Responsibilities:
o Attend required training sessions during the spring
semester
o Attend weekly meetings with Office of Conference Services
personnel, March - August
o Act as liaison between Office of Conference Services and
other on-campus departments including but not limited to Facilities
Services, Public Safety, Residence Life, Information Technology/
Classroom Support and Chartwells.
o Work with Office of Conference Services Supervisor to train
Conference Assistants and set bi-weekly schedule for Conference
Assistants
o Provide exceptional, courteous and knowledgeable customer
service to ensure successful outcomes for guests
o Develop a working knowledge of Banner, EMS and TMS (damage
reports) operating systems
o As part of a team of student workers, provides support to
conference groups in their use of residence rooms and common spaces
in the Residence Halls
o As part of a team of student workers, provides set-ups and
turnovers of residence rooms and re-stock of inventory
o Work with the Office of Conference Services Supervisor to
manage the operation of the Storage Room, located in Hollis
Hall
o Assist with tracking of inventory of furnishing, equipment
and supplies maintained in the Storage Room and make
recommendations for re-ordering on a weekly basis
o Assist with preparation of “linen packets” and refreshing
of linens as well as receipt of and return of linens.
o Conduct inspections of residence rooms. Provide re-sets of
residence rooms to ensure furniture and supplies meet the default
quantities. Document and report facilities and equipment
deficiencies to the Front Desk staff for creation of work tickets
and track cleaning and repairs as requested.
o As part of a team of student workers, provides custodial
support in the Residence Village
Qualifications:
o Student entering their Junior year or above in the fall of
2013.
o Previous work experience within in an operations area
o Ability to work well with a team of peers
o Ability to assert oneself & take charge of tasks that
are not completed in a timely fashion.
o Willingness to be on the front-line of communications with
our guests on behalf of St. John’s University Office of Conference
Services
o Great attention to detail and exceptional organization
skills
o Ability to communicate clearly and professionally with all
summer conference guests, staff, and administration
o Ability to compute minor mathematical calculations
o Ability to stand and walk for extended periods of time
o Ability to move bins weighing in excess of 100 pounds with
assistance of a team
o Ability to lift/carry objects weighing up to 50 pounds
o Valid driver license a plus
o Ability to abide by and enforce policies and procedures
established by Office of Conference Services
o Operating knowledge of Microsoft Office applications such as
Word, Excel, and Access
o Develop a working knowledge of Banner, EMS and TMS operating
systems
o Willingness to work collegially with other Conference
Services Administrators and Conference Assistants
o Flexibility to work mornings, afternoons, nights and
weekends a plus
o Flexibility to handle responsibilities assigned to meet the
needs of the clients and the department
Student workers may not work more than 20 hours per week
during the academic year. The Office of Conference Services
cannot guarantee full-time hours for all shifts during the summer
months (May - August). Employee’s summer hours may range
between 20 hours and 35 hours per week.
