Job Description
The Associate Director of Undergraduate Programs oversees the
administrative, student life and logistical support operations for
the students throughout the world on St. John's programs.
Responsibilities
- Serve as contact for undergraduate students and through
creation and implementation of STJ handbooks that align with
NYC-based policies, ensure health, safety and welfare of students
in all programs.
- Work with NYC-based Executive Director to provide vision for
programs, including continued review of operations to ensure
constant improvement.
- Manage daily administrative activities to ensure programs run
smoothly, including organization of contracts, salary disbursement,
budget requests and approvals and distribution of funds. Work
closely with Director of Business Affairs to ensure budget
compliance.
- Coordinate inter-country travel for DTW programs.
- In managing programs, oversee direct reports in Rome and
throughout the world as needed. Current direct reports are:
the Rome Assistant Director and Student Affairs Coordinator, the
Assistant Directors in Paris and Salamanca and the Student Affairs
Coordinator in Dublin.
- Provide logistical oversight of overseas operations, including
the following responsibilities:
- Serve as liaison to housing and meal plan contractors.
Supervise organization and dissemination of contracts.
- Oversee relationships with Rome service providers regarding
other local matters.
- Oversee the organization of the European Union didactic
tour.
- Serve in public relations role by working with internship
consultants, AACUPI program directors, visiting students' home
school administrators, STJ Department Chairs, and program guest
lecturers, among others.
- Work to increase student numbers by seeking out and developing
relationships with other universities.
- Create and oversee robust, meaningful service activities that
adhere to the Vincentian vision. Work with NYC-based staff to
manage student reflection and follow up and to ensure that
community impact is properly measured.
- Manage excursions program, ensuring that students see the best
of each city while also gaining a local's perspective on the
country.
- Manage reporting for all Europe programs, including weekly
reports on service learning, student activities and excursions, and
all student incidents.
- Working with team members in each city, manage all student
incidents and crisis response.
- Work to ensure strong communication between programs, which may
include travel to programs and organization of all-program
meetings.
- Provide end-of-term evaluations and summaries for Europe
programs, including plans for constant program improvement.
- Position may require travel to sites throughout the world and
to NYC offices.
- In conjunction with NYC staff, position serves as 24-7 on-call
to coordinate emergency response.
- Additional duties as assigned.
Qualifications
- Earned graduate degree in related field.
- Fluency in Italian, French, or Spanish preferred.
- Experience with study abroad programs, with an emphasis on
student affairs training.
- Excellent oral, written, computer and interpersonal
skills.
- Experience with educational systems in both Italy and the
US.
- Good team player, responsible and able to excel with minimal
supervision.
- Strong client service orientation.
Salary
Salary commensurate with your qualifications, experience, and
contingent upon the departmental budget.
