Job Description
The Coordinator will report to the Executive Director of Auxiliary Services and Conference Services in a shared role.  During the academic year primary responsibilities will be with Auxiliary Services while this will be reversed with primary focus in Conference Service areas during the summer months reporting to the Executive Director of Conference Services.

Auxiliary responsibilities

Assist Executive Director with daily operations.

  • Work with Auxiliary partners to improve and enhance product and service offerings.
    • Effective marketing to students and community.
    • Coordinate announcements through Torch, Web digest and STJ Central.
    • Monitor survey results to identify service areas requiring attention.
    • Identify new and enhanced products and services to improve survey responses and scores.
  • Attend seminars and conferences focusing on Auxiliary areas. 
  • Monitor dining facility inspections front and back of house.
    • Daily walk-though’s of dining and bookstore facilities on Queens campus.
      Bi-monthly visits to Staten Island and Manhattan to review Auxiliary areas.
    • Coordinate with Facilities and Food service contractor on items requiring attention.  Perform follow up on all outstanding requests.
    • Report to Auxiliary Services Executive Director on all items not addressed timely.
    • Supervise student workers in scheduling facility inspections and reviews.
    • Prepare weekly summary of facility inspections. 
  • Kitchen equipment maintenance and repairs.
    • Review with Food Service contractor all repairs estimated in excess of $500
    • Identify cost effective replacements versus repairs for review with Executive Director.  Acquire minimum of three quotes for replacement equipment for review.
    • Coordinate with Facilities Services required utilities and installations for new/replacement equipment.
  • Requires a flexible schedule to support varied events and programs including evenings and weekends.
  • Be knowledgeable of Auxiliary contracts to ensure deliverables are met by contractor\/vendor.
  • Attend Food and Campus Advisory meetings in Manhattan and Staten Island representing Auxiliary Services.
  • Attend catering functions and University events supported by Auxiliary service partners.
  • As needed, attend meetings requiring Auxiliary Services review and participation.
  • During summer months continue to monitor dinning facility inspections and services with primary attention on Montgoris and conference group areas

Conference Services responsibilities

  • Prepare residence halls for occupancy and perform quality assurance inspections prior to guest check ins.
  • Maintain daily contact with Facilities Services staff to ensure building cleanliness and maintenance in common areas in the Residence Village and meeting facilities.
  • Coordinate and supervise the setup of meeting rooms as required for each conference.
  • Manage the conference catering and dining schedule in Montgoris hall and other dining facilities and conduct daily inspections of these facilities.

Qualifications

  • BA/BS required

Salary
Salary commensurate with your qualifications, experience, and contingent upon the departmental budget.
