Student Life Event Planning &
On-campus Events: If
you would like your students to attend any of the pre-planned
oncampus Cultural and/or Transition to Higher Education
events, please provide them with the date, time and location. They
must bring their Storm Cards to register in order to receive credit
for attending. Please remind students that they are to stay for the
entire program in order to receive credit for participating. Any
students that leave prior to the completion of the event will be
removed from the list. (There is no need to register for the
program in advance.)
Events: For all off-campus events
planned by faculty, tickets and transportation information (i.e.
Metrocards or time and place for bus transportation) will be
provided to the faculty member prior to the event.
Event Planning Process: If
you are interested in planning a specific event for your class,
please complete the following steps to ensure proper planning and
execution of your event.
Complete the Faculty Activity Request Form and return it to the
Division of Student Affairs. A copy of this form can be picked
up in the Division of Student Affairs. All requests must be made
three weeks prior to the suggested date of attendance.
Division Student Affairs will review all requests for cost
Once the form is reviewed and approved, you will be contacted
and planning for the event will then take place.
Division of Student Affairs will do any necessary research (i.e.
contacting agency, setting up bus transportation – if applicable –
for 40 students or more). Metrocards will be provided for small
groups or independent outings.
Once tickets are received, you will be contacted for pick-up.
The dissemination of tickets will be on your behalf. Along with the
appropriate tickets, all necessary information/documents will also
be forwarded (i.e. Metrocards, subway maps, itinerary for bus
transportation, if applicable).
Keep a personal record of those students who attended your
Fees/Ticket Expenses: All
fees/ticket expenses and transportation costs are pre-paid.Students
do not have to pay for any events. If students do not participate
in any of the on/off-campus events either planned by you and/or
Student Affairs, students will not receive a reimbursement of the

sponsored by Discover New York, they will have to register online.
If the student’s decides that they will not attend the event, they
must then unregister 48 hours prior to the event, in order to
cancel the registration. If this is not done in the required time
frame, the student will then be charged a $25 noshow fee.
For all on-campus events, students must have their
Storm Cards in order to register onsite.
Transportation: For all
Discover New York planned events, transportation will be
provided to and from the event. Buses will arrive approximately two
hours prior to the event (depending on the time of the event).
Please feel free to call (718) 990-6783 (Queens) or 718-390-4055
(S.I.) for departure times. Buses are only provided for groups of
40 or more.
Metrocards are also available for you and/or your
students. Please call in advance in order to pick up Metrocards for
any off-campus events that you may plan for your students
(approximately fivedays prior to your event). Metrocards will not
be distributed to students. Faculty must pick them up and
distribute them to their respective class(es).

Department of Student Affairs. Please call in advance for maps.
