Institutional Endorsement of Proposals

Proposals for external grant support should be submitted to the Office of Grants and Sponsored Research for endorsement by an authorized institutional official. Sufficient time should be provided for institutional review and endorsement, and for the copying and mailing of your proposal. Our Office will do everything possible to ensure that a proposal is submitted complete and on time; however, as the amount of processing time is reduced, so are our chances to take appropriate action leading to the best possible, most responsive proposal.

Generally, we would like to receive your proposal two weeks in advance of an agency deadline, however, we also recognize that this is not always possible. Certainly, we want to provide you all the time we can to prepare a quality proposal. For this reason we urge you to consider how we can be of assistance. Can we help with completion of forms? Can we help with the development of a budget? Can we provide editorial assistance?

We urge you to keep us apprised of developments with your application. Consult with us about your calendar. Help us to avoid those nagging last minute problems. But, remember:

  • institutional signatories are sometimes out of town
  • photocopiers can -- and do -- break down
  • on some days, our (small) Office may be working on more than one "rush" proposal
  • the overnight courier truck doesn't wait for any man!

Working together, we can make that grant deadline! But, please make certain to keep us informed!

Mailing and Tracking Proposals
Proposals are normally shipped from campus via first class mail with a return receipt postcard. When necessary, proposals are shipped via an overnight delivery service. When a private courier service is used (such as DHL or Federal Express), a self-addressed, stamped acknowledgment postcard is included with each proposal we ship. This is done in order that we can track our proposals and assure the faculty applicant that her/his package was received by the sponsor in a timely manner. On a regular basis, our Office compares our log of proposal submissions with postcards received. If -- within a reasonable period of time -- our acknowledgment postcard has not been returned, we will promptly call the sponsor to confirm that our package was received and complete.
